President's Role

Charged with providing leadership and direction to the Executive Team, the President is responsible for ensuring that the Executive Team fulfils its responsibilities for the governance and success of the LUG. He/she also works to optimize the relationship between the Committee, volunteers and other members, and to achieve the LUG’s agreed goals. The Presidents is generally the spokesperson for the LUG and should work to maintain key relationships within and outside of the LUG.

Responsibilities and Duties

  • The President/Chairperson should:
  • Manage executive meetings and establishing whether or not a quorum (half of the Exec team) is present;
  • Manage the annual general meeting.
  • Represent the LUG at local, regional and national levels or appoint a representative.
  • Act as a facilitator for LUG/group activities.
  • Ensure the planning and budgeting for the future is carried out in accordance with the wishes of the members.
  • Overseeing the management of a yearly LUG show, BrickCon-NZ.
  • Represent the LUG at Well-LUG shows and other prominent LUG Shows.

 

The President is appointed for a three year term and is voted in by the executive members.

LUG Secretary's Role

The Secretary is the chief administration officer of the LUG. This person provides the coordinating link between members, the executive team and outside agencies.

The secretary is directly responsible to the President of the LUG and the members

Responsibilities and Duties

  • Prepare the agenda for club/group meetings in consultation with the Chairperson.
  • Make arrangements including venue, date, times and hospitality for executive meetings.
  • Send adequate notice of the executive meetings.
  • Call for and receive nominations for executive team and other positions for the LUG and AGM.
  • Take the minutes of meetings.
  • Write up the minutes as soon as possible after the meeting.
  • Read, reply and file correspondence promptly.
  • Collate and arrange for the printing of the annual report.
  • Maintain registers of members' names and addresses, life members and sponsors.
  • Maintain files of legal documents such as constitutions.
  • To take an active role in the organising of the LUG shows.
  • Represent the LUG at Well-LUG shows and other prominent LUG Shows.

Treasurer

Treasurer's Role

The Treasurer is the chief financial management officer for the LUG and is directly responsible to the President of the LUG and its members.

Responsibilities and Duties

  • Prepare a budget and monitor it carefully for each show and the LUG in general
  • Keep the LUG’s books up-to-date.
  • Keep a proper record of all payments and monies received.
  • Make sure financial reports are available and understood at all executive team meetings.
  • Show evidence that money received is banked and documentation provided for all money paid out.
  • Give Treasurer’s report at regular meetings and when required.
  • Produce an annual financial report.
  • Send out accounts.
  • Pay the bills.
  • To take an active role in the organising of the LUG shows.
  • Try to attend the LUG’s shows to manage the takings and bank them. If attendance is not possible then arrange for a stand in.
  • Represent the LUG at Well-LUG shows and other prominent LUG Shows.

Webmaster's Role

The job is not only creating and maintaining your LUG website, but also managing anything technologically related in the LUG.

Responsibilities and Duties

  • Create and maintain a website www.well-lug.nz.
  • Keep close contact with other officers and members to keep the site up-to-date.
  • Make sure all of the links on the website work.
  • Upload all meeting minutes and agendas to the website.
  • Help the club with any technological issues.
  • Attend some Executive meetings to discuss the website, and ask the rest of the executive team for suggestions/ feedback.
  • Upload pictures and club newsletters.
  • Make sure to put all contact information of the Executive team on the website and be sure they are recent
  • Represent the LUG at Well-LUG shows and other prominent LUG Shows.

Benjamin Edwards

LUG Event Coordinator

LUG Event Coordinator's Role

The purpose of the Event coordinator is to manage the regular LUG social events

Responsibilities and Duties

  • Plan a yearly schedule of LUG events based on an event every 6 weeks. Present this to the Executive team at the beginning of the year for review.
  • Rotate the LUG events around the Greater Wellington area.
  • Propose themes for each event to the executive committee.
  • Try to attend the LUG’s shows.
  • To actively market the events to LUG members and those in the locality of the event.
  • To attend the LUG events or appoint a deputy in your absence
  • To take photographs at the event and provide a written report to be published on the web site following executive review.
  • To take an active role in the organising of the LUG shows
  • Do a survey with your club/get views to see if anything can be improved at the LUG events.
  • Represent the LUG at Well-LUG shows and other prominent LUG Shows.

Responsibilities and Duties

  • Assist the LUG Event Coordinator manage social events
  • Liaise between other RLUG’s in New Zealand and abroad to establish, strengthen and maintain positive relationships.
  • Look for opportunities to collaborate with other RLUG’s on projects and shows.
  • To ensure all relevant shows from other NZ based LUG’s are posted on Well-LUG’s website in the events section
  • To promote Well-LUG, its members and assets to other RLUGS to enhance the best interests of the AFOL and LEGO community.
  • To take an active role in the organising of the LUG shows.
  • Represent the LUG at Well-LUG shows and other prominent LUG Shows.

Palmerston North Branch (PNB) Liaison

Palmerston North Branch (PNB) Liaison's Role

Charged with providing leadership and direction to the President for the activities at the Palmerston North Branch (PNB) liaising with the Executive team to promote social and annual events in the PNB area.

Responsibilities and Duties

  • Primary liaison person with the rest of the Exec Team to ensure adequate assets and funding are available for running the PNB effectively.
  • Act as spokesperson for the LUG in the Manawatu.
  • Overseeing the management of an annual PNB LUG show.
  • To establish a small team of PNB Exec Members to manage the PNB activities and events.
  • To manage assets and funds designated to the PNB and report all expenditure to the Treasurer

Charged with providing leadership and direction to the President for the activities at the Hawke's Bay Branch (HBB) liaising with the Executive team to promote social and annual events in the HB area.
